The Position:
The Corporate Assistant provides direct support to VP of Marketing/Advertising and Directors. Provides additional support to Marketing Department. 
What you will do in this position:
  • Assists in ongoing project management of various projects. 
  • Coordinates and maintains agendas and other artifacts for multiple committees  
  • Creates agendas and leads meetings. 
  • Maintains high-level of confidentiality in all aspects of work. 
  • Communicates and maintains relationships with external vendors on behalf VP and Directors. 
  • Communicates with US and MX TMs to ensure various projects and tasks are completed within the assigned timelines. 
  • Reviews and analyzes the marketing budget for trends and discrepancies. 
  • Oversees an intern for assistance with select projects and tasks. 
  • On boards new TMs both remote and onsite positions.
  •  Assists VP and Directors with PowerPoint presentations, meeting notes and documentation of to-dos. 
  • Assists with special projects as needed at the direction of the VP of Marketing/Advertising and Directors. 
  • Schedules meetings, sets up conference rooms and assists VP and Directors on meeting preparation. 
  • Assists Directors with scheduling meetings and conference room set up. 
  •  Answers department phones, screens calls, and provides phone coverage for department. 
  • Processes payroll and inputs time off for department. 
  • Processes invoices and contracts - codes all monthly statements, per diems, expenses. 
  • Coordinates monthly and quarterly department meetings and celebrations. 
  • Updates necessary department documents as changes take place, i.e. phone extensions, org chart, seating chart, etc. 
  • Distributes department mail.
Qualifications we would like to see:
  •  High School Diploma. (Bachelor's degree or higher preferred) 
  •  Excellent organizational skills and the ability to communicate effectively. Must present a professional company image and positive attitude. Comfortable in a TEAM-oriented work environment. 
  • Excellent attention to detail 
  • Proactive, self-started who is comfortable in a team oriented work environment 
  • Comfortable in a cross-functional work environment with an ability to motivate and influence work 
  • Able to navigate through ambiguous and subjective situations 
  •  Experience with and knowledge of the following software: Excel, Access, Word, PowerPoint, Jira, Confluence 
  •  Good written and verbal communication skills. 
  • Must be able to lift packages up to 40 lbs. repetitively. 

**Candidates must be at least 18 years of age and able to pass a drug test and/or MVR check, as applicable for the role.
